How KB Auctions Ltd collects, uses and protects your personal information when you contact us or use this website.
Last updated: 6 October 2026
Who we are
KB Auctions Ltd, trading as KB Collectables & Auctions, is the data controller responsible for your personal information. We are registered in England and Wales, company number 16030371, with our registered office at Grosvenor House, 3 Chapel Street, Congleton, CW12 4AB.
This policy explains what we collect when you contact us, request a valuation, or browse this website, and what we do with it.
Information we collect
When you contact us or request a valuation
Our contact and valuation forms ask for information so that we can respond to you properly:
- Your name, so we know who we are speaking to
- Your email address, and your telephone number if you choose to give it
- The nature of your enquiry, and any message or detail you provide
- Photographs of coins, if you choose to attach them
If you contact us by email, WhatsApp or Facebook instead, we will hold whatever information you send us through those channels.
When you browse the website
Like most websites, ours collects limited technical information automatically, including your IP address, browser type, device type, the pages you visit and how you arrived at the site. This is used to keep the site secure and to understand how it is used.
Photographs of coins. If you send us photographs, please be aware that images can carry embedded location data. We recommend removing this before sending anything, and we do not use any location data contained in images you send us.
How we use your information
We use the information you give us to:
- Respond to your enquiry and answer your questions
- Prepare and provide a valuation for coins or a collection
- Arrange a purchase, sale or consignment where you decide to proceed
- Keep records required for tax, accounting and legal purposes
- Maintain the security and proper functioning of this website
We do not sell your personal information, and we do not pass it to third parties for their own marketing.
Our lawful basis for using it
Under UK GDPR we must have a lawful basis for processing personal data. Ours are:
- Legitimate interests, for responding to enquiries, providing valuations and running our business, where this does not override your rights
- Contract, where you go ahead with a purchase, sale or consignment and we need your details to complete it
- Legal obligation, for records we are required to keep, such as accounting records
- Consent, for non-essential cookies, which you control through the cookie banner and can withdraw at any time
Cookies and analytics
Cookies are small files stored on your device. Some are necessary for the website to work, and others are optional.
- Necessary cookies enable essential functions such as security and remembering your cookie choices. These are always active.
- Analytical cookies help us understand how visitors use the site, through Google Analytics. This tells us which pages are useful and where people leave.
- Functional cookies may be set by third party services embedded on the site.
You choose which optional cookies to allow when you first visit, and you can change your choice at any time using the cookie settings link on the site. You can also block or delete cookies through your browser settings, though some parts of the site may then not work as intended.
Who we share your data with
We share personal information only where necessary to run the business, and only with organisations that process it on our behalf:
- Our website host, which stores the site and any form submissions
- Google, for website analytics
- Cloudflare, whose Turnstile service checks that our forms are being completed by a person and not by automated software
- Meta, if you choose to contact us through WhatsApp or Facebook, in which case their own privacy terms also apply
- Our accountants and professional advisers, where required for legal or financial purposes
Some of these providers are based outside the UK. Where personal data is transferred internationally, it is protected by appropriate safeguards as required by UK data protection law.
How long we keep it
We keep personal information only as long as we need it:
- General enquiries that do not lead to a transaction are kept for up to two years, so we can pick up a conversation if you come back to us
- Valuation records are kept for up to six years, as they may be relevant to a later sale or to a probate or insurance matter
- Transaction and accounting records are kept for at least six years, as required by HMRC
- Website analytics data is retained according to the retention settings in Google Analytics
How we protect it
This website uses an encrypted connection, and access to enquiry data is limited to those who need it to respond to you. We keep our website software up to date and take reasonable technical and organisational measures to guard against loss, misuse or unauthorised access.
No method of transmission over the internet is completely secure, so while we take these steps we cannot guarantee absolute security.
Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you
- Rectify anything that is inaccurate or incomplete
- Erase your data, where we have no continuing lawful reason to keep it
- Restrict or object to our use of your data in certain circumstances
- Data portability, receiving your data in a transferable format
- Withdraw consent at any time, where consent is our basis for processing
To exercise any of these rights, contact us at info@kbauctions.co.uk. We will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would encourage you to raise it with us first so we have the chance to put it right.
Children
This website is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time to reflect changes in how we operate or in the law. Any changes will be posted on this page with a revised date at the top. We recommend checking back occasionally.
